1. What Are Cookies
Cookies are small text files placed on your device when you visit a website. They are widely used to make websites work more efficiently, to remember your preferences, and to provide analytical information to website owners.
In addition to cookies, we may use similar technologies such as web beacons, pixel tags, and local storage objects. For simplicity, we refer to all of these technologies collectively as "cookies" in this policy.
Cookies may be "session cookies" (which expire when you close your browser) or "persistent cookies" (which remain on your device for a set period or until you delete them). They may be set by Scholva ("first-party cookies") or by third-party services we use ("third-party cookies").
2. Types of Cookies We Use
We categorise the cookies used on the Scholva platform and marketing website into the following types:
- Strictly Necessary Cookies: Essential for the website and platform to function. They cannot be switched off. They are typically set in response to actions you take, such as logging in or filling in forms.
- Performance and Analytics Cookies: Help us understand how visitors interact with our website by collecting and reporting anonymous information. This helps us improve the platform.
- Functional Cookies: Enable enhanced functionality and personalisation, such as remembering your language preference or dashboard layout settings.
- Marketing Cookies: Used on our marketing website to measure the effectiveness of advertising campaigns. These are not used inside the Scholva application itself.
3. Essential Cookies
The following essential cookies are required for the platform to operate and cannot be disabled:
- auth_token / refresh_token: Stores your encrypted authentication credentials to keep you logged in during your session. Expires with your session or after 7 days if "remember me" is selected.
- csrf_token: Protects against Cross-Site Request Forgery attacks. Set per session.
- team_context: Remembers which school team you last accessed so you are directed to the correct dashboard on login. Persistent for 30 days.
- cookie_consent: Records your cookie consent preferences so we do not ask again on subsequent visits. Persistent for 365 days.
These cookies do not track your activity across other websites and are strictly limited to functionality required by the Service.
4. Analytics Cookies
We may use analytics tools to understand how our marketing website and platform are used, helping us improve user experience and identify technical issues. Any such cookies collect anonymised or pseudonymised data.
- Google Analytics (_ga, _gid): If enabled, used only on the scholva.com marketing website (not inside the app) to collect anonymised information about visitor behaviour. IP addresses are anonymised. Retention: 26 months for _ga, 24 hours for _gid.
Analytics cookies are only set if you have accepted non-essential cookies via our cookie consent banner. We will update this policy when additional analytics tools are introduced.
5. Managing Cookies
You can manage your cookie preferences at any time:
- Cookie Consent Banner: When you first visit our marketing website, you will see a cookie consent banner allowing you to accept or reject non-essential cookies. You can change your preferences at any time using the "Cookie Settings" link in the website footer.
- Browser Settings: Most browsers allow you to view, manage, and delete cookies through their settings. Please refer to your browser's help documentation for instructions. Note that disabling essential cookies will impair or prevent your use of the Service.
- Opt-out Links: You can opt out of Google Analytics tracking at tools.google.com/dlpage/gaoptout.
Restricting or deleting cookies may affect your experience of the Scholva platform, particularly features that rely on remembering your preferences between sessions.
6. Third-Party Cookies
Some cookies are set by third-party services embedded in our website or platform. These third parties have their own privacy policies governing how they use the information collected.
- Razorpay: Our payment processor sets cookies during the checkout process for fraud prevention and session management. These are essential for completing transactions.
- Crisp Chat: Our website live-chat widget sets cookies to maintain chat session continuity across pages and visits. These are only active once the chat widget loads on the marketing website.
- YouTube (where applicable): If we embed video content on our marketing pages, YouTube may set cookies if you interact with the video player.
We do not have control over the cookies set by these third parties. We recommend reviewing the privacy and cookie policies of these services directly.
7. Changes to This Policy
We may update this Cookie Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will update the "Last Updated" date at the top of this page and, where appropriate, notify you via email or in-app notification.
We encourage you to review this policy periodically. Continued use of our website or platform after changes have been posted constitutes your acceptance of the updated policy.
